Validation of invoices by several stakeholders

In some cases, an invoice may be generated by a given stakeholder (the billing user) and controlled/validated by another stakeholder (the validating user). Several processes for validating invoices between them can then be implemented.

• Use of the table “Invoicesâ€

  1. The charging userissues an invoice proforma
    These proforma are automatically added totable “Invoicesâ€

  2. The validating userconsults regularly on thetable “Invoicesâ€
    It can use the filter “Statut†Filter in this table to display only invoices in status “proformaâ€

    For each proforma the validating user:

    1. Acts on the proforma

      1. View/modify the document associated with proformavia the option “See the invoice documentâ€

        Remarks:
        1. Before editing the document associated with the proforma you can enable OnlyOffice Changes Tracking to allow other members of the firm to see the changes you will make.
        2. If changes are to be made to the amounts, consider also updating the proforma publisher.

      2. Edit the proformavia the “Edit via the proformaâ€editor

        Note:
        1. If changes are to be made to the amounts or information of the activities, consider also updating the associated document, or even reserving a new document via the “Save and Edit†button .

      3. Validate the invoiceorit to take itvia the options “Go to Validé“Go to Pay“€œGo to Payâ€

        Note:
        1. Once an invoice is validated it is no longer possible to modify its information in the software, modify the associated document or delete it. In case of error it will therefore be necessary to cancel this invoice validated by a credit note and re-issue a new one.

    2. Informs the billing user of his comments and requests for changes (viaa task, ae-mail...).

• Use of tasks

  1. The charging user:

    1. Issues a proforma invoice
    2. Creates a taskin the folder informing the validating user that he has a proforma to control

  2. The validating user:

    1. Get acquainted with the task
      It can consult the task: on the tasks page, in the task widget on the home page, by e-mail if the task has been set with a reminder...

    2. Goes to the tab “billingâ€" of the relevant file
      Note: by clicking on the name of the folder that appears on the task it is automatically redirected to the page of this folder

    3. Acts on proforma (see above)

    4. Informs the billing user of his comments and requests for changes (viaa task, ae-mail...)

    5. Complete the task

• Use of e-mails

  1. The charging user:

    1. Issues a proforma invoice
    2. Sends the document associated with the invoice by e-mailto the validating user

  2. The validating user:

    1. Read the email and attached document

    2. Changes the document if necessary

    3. Acts on proforma if necessary (see above)

    4. Informs the billing user of his comments and requests for changes (viaa task, ae-mail...)

  3. The charging userread the user's comments validating and modifies the proforma accordingly, orvalid the invoice

• Use of parapheur

  1. The charging user:

    1. Issues a proforma invoice
    2. Download the associated document
    3. Start a request for validation of this document via the Parapheur, by putting the validating user as a recipient

  2. The validating user:

    1. Be aware of the request for parapheur
      He can access this request: via his Notification Centre or via the Parapheur page

    2. Changes the document if necessary

      Note: Before editing the proforma document you can enable OnlyOffice Changes Tracking to allow other cabinet members to see the changes you will make.

    3. Acts on proforma if necessary (see above)

    4. Informs the billing user of his comments and requests for changesvia the paraglap tool
