Manage a file/directory via JarvisDrive (Nextcloud)
You haveseveral management featuresfiles and directories in JarvisDrive. These features may apply to a given file or directory (unit shares) or on a set of files or directories (grouped actions).
Unit actions to manage a file/directory
To access it it should be click on the buttonto the right of the file or directory to be edited.
Add to favourites
This feature allows you topin preferred files and directories into a dedicated directory directoryaccessible via the left menu of JarvisDrive.
In particular, this can allow you to access the files or directories you are currently working on.
Tails
This feature will open a panel to the right of the page with details on the relevant file or directory. This panel has several tabs for each type of information available:
- Activities: This tab displays the actions taken on the relevant file/directory, the date and time of the action, and the user causing that action.
- Comments: Via this tab Jarvis users can add comments to a file/directory and view potential existing comments.
- Shares: This tab allows you to view with which people the file/directory is shared (sharing to Jarvis usersorsharing to third parties) and manage the rights and parameters of such shares.
- Versions: This tab only concerns files and not directories. It allows you to view different versions of a file, the authors of those versions, and to restore older versions if needed.
Rename
This feature allows you to rename a file/repertoire. The file/directory will be renamed for all Jarvis users of the company who have access to it.
By clicking on "Rename" The name of the file / directory becomes editable. Type the desired name and press the "Enter" touch on the keyboard to validate the name change.
To ensure proper functioning of the Jarvis Drive we recommend that you follow these tips:
- Do not rename the directory of a Folder directly: you must go through theamendment of the File
- Avoid names that are too long (more than 60 characters)
- Avoid specific characteristics such as "Â" *: < >?? / \ |
- Avoid emojis
- Do not name two files/directories in the same way, even if the case (lower/capital alternation) is different
- Do not start the name with a space
Move or copy
This feature allows you to move or copy a file/redirectory to another directory.The file/repertoire will thus appear as moved or copied for all Jarvis users of the company with access to it.
By clicking on "Move or copy"A window appears to allow you to choose the destination directory (the "Target Folder"). You can choose a directory or a subdirectory. Once the correct directory is opened, it is necessary to click either on the "Copy" button, or on the "Move" button.
Note:You can also move a file/directory by dragging/drop in the desired JarvisDrive directory.
To ensure proper functioning of the Jarvis Drive we recommend that you follow these tips:
- Do not move the directory of a Customer File in the directory of another Customer File
- Do not manually move the directories of the Customer Files to be archived in the directory "Archives": it is necessary to go through thearchiving of the Fileitself, an operation that will also automatically move the directory associated with the File in the "Archives" directory
Download
This feature allows you toDownload on your computer:
- A file in its recording format in JarvisDrive (for example, a DOCX file will be downloaded in DOCX format and can therefore be opened directly via your usual word processor)
- A directory in a compressed .ZIP format (which will be required, once the directory is downloaded, to extract the contents of the compressed directory via adapted decompression software)
Remove
This feature allows you to
delete a file or directoryof JarvisDrive. The file/directory will be deleted for all Jarvis users in the company who had access to it.
Note:Deleted files and directories are moved into the "Deleted Files" directory accessible via the left menu of JarvisDrive, and are kept there about 30 days before being finalized.
To ensure proper functioning of the Jarvis Drive we recommend that you follow these tips:
- Do not delete the directory from a Customer Folder
- Do not delete the directory "Archives"
Group actions to manage a file/directory
To activate the functionality of making group actions it is appropriate first to
check files and/or directorieson which a group action must be applied. This makes a button
will appear.
Move or copy
This feature allows you to move or copy checked files and/or directories to another location. The related checked files and/or directories will thus appear as moved or copied for all Jarvis users of the company who have access to them.
By clicking on "Move or copy"A window appears to allow you to choose the destination directory (the "Target Folder"). You can choose a directory or a subdirectory. Once the correct directory is opened, it is necessary to click either on the "Copy" button, or on the "Move" button.
Note:You can also move a selection of files and/or directories by dragging/drop in the desired JarvisDrive directory.

- Do not move Customer Records directories in the directory of other Customer Records
- Do not manually move the directories of the Customer Files to be archived in the directory "Archives": it is necessary to go through thearchiving of the Fileitself, an operation that will also automatically move the directory associated with the File in the "Archives" directory
Download
This feature allows you toDownload on your computerfiles and/or directories checked in compressed format .ZIP(once the elements have been downloaded, to extract their content via adapted decompression software).
Remove
Note:Deleted files and directories are moved into the "Deleted Files" directory accessible via the left menu of JarvisDrive, and are kept there about 30 days before being finalized.
To ensure proper functioning of the Jarvis Drive we recommend that you follow these tips:
- Do not remove directories associated with Customer Records
- Do not delete the directory "Archives"
