Best practices for Jarvis Drive and Jarvis Box
Jarvis is the only cloud solution that synchronizes your customers' folders with a dedicated documentary space. Each File has its directories and subdirectories (also called "scotes") that allow you to organize yourself as you see fit. It is also a great tool to centralize all your documents and files in one, completely secure place.
Jarvis Box is the ideal companion for your mobility: thanks to it, you constantly have a copy of your important files and documents. You can access it anytime, anywhere, whether connected or offline.
In order to take full advantage of this, some simple rules should be borne in mind and good practices. We have listed them in this article to send you the tips that will help you on a daily basis.
Good practices to implement within the firm:
Connection to JarvisBox
- One JarvisBox account per user. - Do not use the same JarvisBox account for two or more different people, which will eventually result in file losses and regulatory changes.
One JarvisBox account per computer session.- Be careful to use only your own JarvisBox account on your equipment (connected with your personal username and password). You can install as much JarvisBox as you have equipment as you use personally.
Management of directories and files
- Limit the movement of directories Records.- Avoid moving the directory of a File (client) in the directory of another File (client) from JarvisDrive or JarvisBox, at the risk of breaking the automatic connections between the relevant folder and its directory, as well as all the elements contained therein (subdirectories, files...).
- Avoid names that are too long.- Do not name files or directories with names that are too long (60 characters maximum).
- Avoid specific characteristics and emojis.- Do not use special characters or emojis in names given to directories or files.
Examples of special characteristics not to use: Â" *: ~ < >?? / \ |
- Do not directly rename the directory associated with a Folder.- To rename a File and its associated directory it is preferable to go through theamendment of the Filein himself.
- Do not give the same name to two directories/files.- Avoid naming two files/directories in the same subdirectory with exactly the same name (same spelling), even if the upper/lower case differ.
- Do not delete the directory "Archives" directory.- This directory is used in the functionality ofarchiving of Customer Records: when you archive a Client Folder, the associated JarvisDrive directory is automatically moved into the "Archives" directory of the JarvisDrive of the Folder Manager.
Do not manually move the directory of a Client Folder in "Archives".- This operation is done automatically thanks to the functionality of
archiving of Customer Records.
Sharing of Directories of Records
Limit shares. - Share the file only with stakeholders who will be required to work on the file to avoid propagations of possible errors.
Avoid working together on the same file.- Be careful not to multiply users working in the same File at the same time, and especially users working on the same file.
Resolution of possible error messages
Do not be willing to contact Customer Service. - Do not attempt to solve the situation by yourself if you are unable to respect all
stages of resolution.
